Chancellor's Guest Parking Spot Policy

Policy Statement

The Chancellor’s Guest Parking Spots are designated spaces intended to support institutional hospitality by providing convenient parking for official visitors to the University of Arkansas – Fort Smith. To ensure equitable access, transparency, and proper utilization of these spaces, all reservations must follow the procedures outlined in this policy.

No individual, office, department, contract employee, or vendor may use the Chancellor’s Guest Parking Spots without prior approval from the Office of the Chancellor.

Reservation Requirement

All offices requesting use of the Chancellor’s Guest Parking Spots must formally reserve the space at least 2 business days in advance through the Office of the Chancellor, except in cases of emergency when access is critical.

Reservations may be submitted by email to Sydney.Seegers@uafs.edu. Requests must include the following information:

  • Name of Requesting Department
  • Name of Requestor  
  • Name of Guest
  • Guest Cellphone Number  
  • Date & Time of Visit
  • Length of Visit  
  • Purpose of Visit
  • Vehicle Information (If Available)  
  • Number of Parking Spots Needed (Only 2 spots available)

The Office of the Chancellor will issue a parking pass that will need to be picked up by either the Requestor or Guest.

Requests will be processed in the order they are received, subject to approval guidelines.

Approval Guidelines

The Office of the Chancellor reserves the right to deny or modify requests in cases of conflict, high-priority campus needs, or limited availability.

A confirmation email will be sent to the requesting department once the reservation is approved.

Usage Rules and Expectations

General Use

  • Only approved guests may park in the Chancellor’s Guest Parking Spots.
  • Parking Spots are monitored 24/7/365
  • No individual may use the space without documented approval.
  • Must have parking pass issued by Office of the Chancellor displayed by hanging from mirror in vehicle(s).

Time Limits

  • Vehicles may only occupy the space for the duration of the approved reservation.
  • Departments must notify the Office of the Chancellor of any schedule changes.

Cancellations

  • Cancellations should be submitted as soon as changes are known to ensure the space becomes available for others.
  • Repeated last-minute cancellations may impact future approval priority.

Compliance

  • Unapproved parking, misuse, or falsification of information may result in:
  • Removal of parking privileges for Requestor/Requesting Department
  • Notification to University Police Department (UPD)
  • Citation or towing at the vehicle owner’s expense

Tracking and Accountability

A centralized calendar of all reservations will be maintained by the Office of the Chancellor to ensure:

  • Visibility of scheduled usage
  • Prevention of double-booking
  • Clear documentation for reporting and evaluation
  • Accountability among departments

The reservation system will serve as the official record of all approved use.

Communication Protocol

  • Confirmation emails/reminders will be sent to requesting departments and hosting units.
